Job Summary:
We are seeking a highly experienced Executive Assistant to provide comprehensive administrative and personal support to a senior executive. This role requires outstanding organizational skills, excellent communication abilities, and a proactive, detail-oriented mindset. The ideal candidate is comfortable operating in a fast-paced environment, can easily manage complex schedules and priorities and demonstrates a high level of initiative and autonomy.
Key Responsibilities:
Serve as the primary point of contact between the executive and internal/external stakeholders, handling correspondence, calls, and inquiries efficiently and thoughtfully;
Manage complex calendars, including scheduling meetings, appointments, conference calls, and personal commitments across multiple time zones;
Coordinate domestic and international travel arrangements, including transportation, accommodations, itineraries, and travel documentation;
Draft, review, and manage emails, reports, and other communications; respond on behalf of the executive when appropriate;
Prepare materials and logistics for meetings, board sessions, and presentations, ensuring all documentation is complete and well-organized;
Handle expense reports, receipts, and reimbursements, ensuring timely submission and adherence to company policies;
Support the planning and execution of high-level events, including corporate functions, private engagements, and special initiatives;
Perform a range of personal assistance tasks, including errands and personal scheduling, with flexibility and reliability;
Mentor and coordinate with administrative support staff to maintain smooth office operations and uphold high standards of service;
Maintain strict confidentiality in all matters and use sound judgment in handling sensitive information.
Qualifications:
English language proficiency at C1–C2 level (written and spoken) is mandatory;
A university degree in a relevant field, such as Business Administration, is considered a strong plus;
Minimum of 3 years of experience in a similar role supporting senior-level executives;
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), familiarity with scheduling and collaboration tools;
Excellent verbal and written communication skills, with the ability to adapt to different communication styles;
Strong organizational and time-management skills, with the ability to anticipate needs and proactively address challenges;
High attention to detail and accuracy, with a structured and efficient approach to tasks;
Professional customer service orientation and confident communication over phone and email;
Ability to multitask and remain composed under pressure;
Proactive, self-motivated, and resourceful, capable of working independently and as part of a team;
Flexibility to adapt to evolving priorities and demands.
